How to manage students who have left your school

Off-board unsynchronised students by removing their attainment data and contact details.

Please note, we'll never delete or remove your students and their data without expressed permission. We also advise that students are widely left on the platform after leaving the school, so that their data can be accessed if ever needed.

However, if you’ve had students leave your school and wish to off-board them, you can remove or anonymise their contact information and delete their attainment data within a few simple steps.


What happens to students’ contact information?

Once a student has been marked as off-roll on your MIS, their student details will still be held within the Student List. However, you are able to manually remove or anonymise their contact.

To remove or anonymise a students’ details on the Student List;

  1. Head to My School and select Students from the dropdown

  2. Select Adjust Filters and tick Sync status from the filters, then return to the Student List

  3. From the Sync status dropdown, select Student no longer on the MIS

  4. You can then click the 3-dot button next to any off-roll students' details and select Delete, or select Edit to change the students name and Save Changes to ensure anonymity.

What happens to students’ attainment data?

The synchronisation will move any students that are no longer in your class on the MIS to a new class called Not assigned to a class. Their data will be kept too.

If you wish to remove a student, along with their data, from a class called Not assigned to a class, you can follow the steps below. If doing so, we'd recommend first saving a copy of their data by going to Tools > Download.

  1. Click the 3-dot button to the right of Live Tracking, then select Edit Tracker Options | Class.

  2. Scroll down to the student list and click Remove next to the relevant students’ name. The pop-up message below will then ask you to type 'delete' to confirm the changes.

❗ There may be some students within a Not assigned to a class that are still on roll but have become unsynchronised due to a different reason, such as a syncing issue.


Why are off-roll students still appearing within Analysis?

If off-roll students are still appearing within Analysis, such as the Grades Summary, it is likely that the students are still within a class on a tracker.

If this is skewing your Analysis, you'll need to remove the off-roll students from the relevant 'Not assigned to a class' classes, by following the two steps above. Following this, the students should no longer appear within Analysis.

It can take 1 day for student changes, made within your MIS, to be reflected in Pupil Progress.
