How to prepare trackers for a new academic year by re-synchronising rolled-over year groups, bulk-creating trackers for previous cohorts, adding any new classes or specifications, and capturing a baseline snapshot.

Key Steps

1. Re-synchronise rolled-over year groups with the MIS 0:29

  • Go to the subject area that has already rolled over for the new academic year.

  • On the right-hand side, select Synchronise your class lists.

  • Review the list of classes, qualifications, and specifications shown.

  • Match only the classes that belong to the correct specification.

  • Exclude classes that belong to a different specification within the same subject area.

  • Click Save to begin syncing in the background.

  • Repeat this for each subject that needs to reconnect to the MIS.

2. Confirm class list synchronisation is in progress 1:17

  • Check that the class list synchronisation tick appears next to the subject.

  • Confirm the classes are now syncing directly to the MIS.

  • Allow time for the sync to complete in the background.

  • Repeat the same process for any continuous courses, such as Year 13 A-level subjects.

3. Add a new class manually for a new subject or specification 1:48

  • Use this step when a new subject, class, or specification has been introduced.

  • Go to Add new class.

  • Search for the subject, qualification, and specification from the dropdown menus.

  • Review the list of available classes linked to that subject.

  • Select the classes that should be attached to the new specification.

  • Click Add new class to create the tracker manually.

  • Use this method whenever a subject changes specification during the year.

4. Bulk add previous year trackers using auto-suggest 2:22

  • Go to Add new class.

  • Select Auto-suggest trackers.

  • Use this option only at the start of the academic year.

  • Continue to the year group you want to set up.

  • Review the suggested courses and the classes listed beneath each course.

  • Select all classes that should be linked to each course.

  • Leave out any classes that should not be part of that tracker.

  • Scroll to the bottom and click Create new trackers.

5. Repeat auto-suggest setup for each rolled-over year group 3:25

  • Return to Add new class and repeat Auto-suggest new trackers for the next year group.

  • Complete this process for each year group that did not roll over and sync automatically.

  • Typical year groups to process include:

    • Year 7

    • Year 8

    • Year 9

    • Year 10

    • Year 12

  • Allow time for trackers to appear and sync after creation.

  • Continue working while the system pulls through student and teacher data from the MIS.

6. Understand which year groups need manual setup versus sync only 3:46

  • Year 11 and Year 13 usually roll over automatically.

  • For Year 11 and Year 13, only re-synchronise the subjects rather than creating all trackers again.

  • For Year 7, 8, 9, 10, and 12, use the auto-suggest process to create trackers.

  • Use this distinction to avoid duplicating trackers or missing required setup.

7. Add new classes at any point during the year 4:05

  • If a new class is added later in the year, go to Add new class.

  • Connect to your MIS platform if prompted (for example: Arbor, Sims, BromCom, or iSAMS).

  • Select the subject, qualification, and specification.

  • Choose the relevant classes from the list.

  • Add the trackers directly to the pupil progress site.

  • Repeat this process whenever a new class or specification is introduced.

8. Create a school-level snapshot for the new academic year 4:44

  • After all subjects and year groups are synced, go to My School.

  • Select Snapshots.

  • Click Add a new school-level snapshot.

  • Name the snapshot clearly, such as New Academic Year.

  • Choose to take the snapshot immediately or schedule it for a specific date.

  • If no date is selected, the system will usually default to the following day.

  • Use this snapshot as the baseline for tracking progress throughout the year.

9. Maintain regular snapshots during the year 5:06

  • Take snapshots regularly after each data entry point.

  • Use snapshots to preserve historical data for reporting and comparison.

  • Ensure previous progress can still be accessed after new data is entered.

  • Use each snapshot to monitor progress over time and support reporting.

10. Confirm setup is complete and prepare for next steps 5:27

  • Verify that all trackers are set up and syncing correctly.

  • Confirm the new academic year setup is complete.

  • Proceed to optional next steps such as:

    • Importing target grades

    • Enabling flexi grades

    • Enabling flexi units

  • Keep the tracker setup as the foundation for all future progress tracking.

Cautionary Notes

  • Do not sync classes from the wrong specification; some subjects may contain multiple specifications within the same department.

  • Do not create duplicate trackers for year groups that already rolled over automatically.

  • Allow time for synchronisation to complete in the background before assuming there is an error.

  • Use Auto-suggest trackers only at the beginning of the academic year.

  • When adding classes manually, confirm the MIS connection and the correct subject/qualification/specification before saving.

  • Take snapshots consistently; otherwise, you may lose a clean baseline for reporting and progress comparison.

Tips for Efficiency

  • Work year group by year group to avoid missing classes.

  • Use the auto-suggest feature for bulk setup instead of creating trackers one at a time.

  • Keep a checklist of subjects and year groups so you can confirm each one has been synced.

  • Schedule the new academic year snapshot immediately after setup to avoid forgetting it.

  • While trackers sync in the background, continue with the next year group or subject to save time.

  • Use clear snapshot names so they are easy to identify later in reporting.
