This article is written for users with School Admin permissions, and outlines how Pupil Progress handles the academic year migration process, including what we do behind the scenes, and the steps schools should take to ensure a smooth transition.
What steps does the Pupil Progress team take to migrate your platform?
Xporter sync paused
This will occur during the final two weeks of July to allow for a clean rollover.
Academic year update
Your school's Pupil Progress account will switch to 2025/26 during the first week of August.
Year 9 to Year 10 migration
Any current Year 9 KS4 classes will be migrated by our team and added as 2025/26 Year 10 trackers.
Student year group promotion
Existing Year 10 and 12 classes will be moved up a year by our team, along with their existing data.
New class setup
New Year 10 and 12 classes will be added once your school’s 2025/26 timetable is live in your MIS.
Confirmation email
We’ll let you know when migration is complete, along with guidance for the year ahead.
When are old trackers archived?
Old trackers will be archived in November. After this they will become read-only, meaning:
Staff will no longer be able to enter any new data or edit existing data.
Assessment settings (such as visibility or counting towards) cannot be changed.
All data will remain accessible, both on the tracker and in Pupil Progress' Analysis tools.
Archived data can be exported to Excel files in the usual way.
What do I need to do to prepare?
Activate new classes
Ensure that your 2025/26 classes are activated in your MIS during the first week of September, so they are eligible for setup in Pupil Progress..
Notify us of MIS changes
If your school is switching MIS, let both Pupil Progress and Groupcall's Xporter team know as early as possible.

Complete the migration survey
