Each year, trackers from the previous academic year are archived to make way for the new year's trackers, while protecting existing data.

What happens when trackers are archived?

Archived trackers are essentially read-only. This means you cannot do the following:

  • Hide or unhide assessments.

  • Change which assessments are counting towards grades.

  • Enter marks or change existing marks.

  • Make any changes to the grade boundaries series used.

  • Make any changes to the view preferences.

However, you can still:

  • View your trackers in a read-only format.

  • Download the data and transfer it to live trackers using Bulk Edit.

  • Copy over any Customised Assessments from a previous year using Copy Existing Assessment.

  • Use Analysis and download student reports using the data.

This article walks through how to access archived trackers, and to transfer data into live trackers.

Access an archived tracker

To view trackers from a previous academic year:

  1. From the Tracking homepage, click the Academic Year dropdown and select a previous year from the options.

  2. To the right of each class, where Live Tracking usually appears, select Archived Tracker.

  3. All assessments and data that were present on the tracker before being archived will be viewable and downloadable.

Transfer data from an archived tracker

To copy data from an archived tracker into a current tracker:

  1. Open an Archived Tracker for a class, or click the three dots to the right of a tracker title and select Open Year Group Overview.

  2. Download the data by opening Tools from the left menu and selecting Download. An XLS file will then appear in your Downloads folder.

  3. Return to your tracker for the current academic year, open Tools and select Bulk Edit. You can then copy data from the XLS file, and paste it into the tracker (ensure that both the assessment columns and the order of students align).

  4. Once you're done, click Save Changes in the top bar.
