How to schedule Snapshots and Data Clears

Prepare for each data point by scheduling Snapshots and clearing Learning Characteristic, Teacher Predicted Grade and Flexi Grade data.

In order to follow the steps in this article, your account must be set up with School Admin access.

To help you to keep track of your data points throughout the academic year, you can use Pupil Progress' Snapshot and Clear features to schedule data captures and periodically clear Learning Characteristic, Flexi Grade and Teacher Predicted Grade (TPG) values.

These tools are particularly useful for schools tracking progress on Learning Characteristics, such as Attitude to Learning and Effort, at multiple points throughout the year.


Schedule Snapshots

School Admin users can schedule School-Level Snapshots to be captured at any specified date in the year, such as the last day of term, by following these simple steps:

  1. Hover over My School at the top of the page, and select Snapshots from the dropdown menu

  2. Click the blue button Add New School-level Snapshot

  3. Add a name for your Snapshot, then select on specific date from the options and pick a date from the calendar

  4. Click Continue to confirm, the snapshot will be added to the list with the status set as scheduled.

πŸ’‘ We'd advise scheduling Snapshots for each of your data points at the start of the academic year, to ensure you can revisit data from any of your specified dates.


Clear live values

The Clear Values functionality allows you to immediately or schedule a date to clear Learning Characteristics, Flexi Grades and TPGs from all or selected year groups' live trackers.

You may want to schedule a data clear for before a data point, in order to refresh your columns and input additional values. To schedule a data clear:

  1. Hover over My School at the top of the page, and select Snapshots from the dropdown menu

  2. Select the Clear Values tab to the right of Snapshots, then click the blue button Schedule Data Clear

  3. Input your preferences including scheduled date and year groups, you can also select individual learning characteristics to clear

  4. Add a name for your backup snapshot to be taken ahead of the data clear

  5. Click Save Changes, a warning message will pop up with details of the deletion and ask you to type confirm

  6. Once confirmed, the request will be added to the clear values list with the status set as scheduled.

You can delete a scheduled data clear at any point before the specified date, by clicking the three dots at the end of the relevant clear values request and selecting Delete.
