Top five ways to optimise data collection points

Best practices for Data Managers, including scheduling snapshots and setting up report templates.

With so many to-do's on your checklist around data points, ensure the process runs as smoothly as possible using these five key features πŸ‘‡

1. Backup and Clear Previous Values

Head to My School > Snapshots > Clear Values to schedule a date to clear Learning Characteristic, Flexi Grade and TPG values from the previous data entry points.

The Clear Values feature allows your columns to be refreshed ahead of your next data entry point. You'll also have the option to take a backup whole-school snapshot, so that you can view previous values at any point.


2. Schedule a School-Level Snapshot for post-data entry

Head to My School > Snapshots > Add New School-Level Snapshot and choose a specific date to capture data across all subjects at that point in time.

By scheduling a school-level snapshot following each major data point, you'll be able to accurately compare data over time. School-level snapshots can also be used for reports on the Pupil Progress App.


3. Check which subjects are missing data

Use the Grades Summary within the Analysis area to check for any missing attainment data across all subjects.

Any students who should have data for a subject but are missing data will have a no data icon below the relevant subject.


4. Set up Report Templates

Within Reports > Report Templates, you'll find a list of your created report templates and be able to change which template is set as the default.

When adding a new report template, you'll be able to choose whether reports are downloaded individually or merged into one file, as well as which of the following are displayed:

  • Grade types

  • Learning Characteristics

  • Colour shading

  • Year Group Average marks

As your report preferences may differ between year group or data point, ensure you have the relevant template set up and named, for example 'Year 11 November Reports', ready to select when downloading and publishing reports.


5. Download and publish reports

Downloadable reports

If you're downloading reports for printing or importing to your MIS, you can download student reports in bulk with the Downloadable Reports feature.

Select to download student reports either by specific subject, year group, student, attribute or tag.

App reports

Alternatively, if your school has the Pupil Progress App set up, head to Reports > App Reports to publish student reports to the app.

App reports are always based on a specific Snapshot. If you're creating a new snapshot for reporting, be sure to wait until it has finished processing before publishing.
