How to use the Pupil Progress Arbor data converter

Learn how to convert your Pupil Progress export into an Arbor-ready import file using the Arbor Data Converter tool.

Introduction

The Arbor Data Converter allows you to quickly transform your Pupil Progress assessment data into a format that can be uploaded into Arbor.

This is particularly useful for data managers preparing to transfer assessment data between systems without manual reformatting.

In this guide, you’ll learn how to:

  • Export the correct data from Pupil Progress

  • Upload and convert your files

  • Map subjects and validate your data

  • Download and import your Arbor-ready file


Access the Arbor Data Converter

  1. Go to the Arbor Data Converter:
    👉 https://pupilprogress.com/arbor-converter

    You can also access the converter by going to the pupilprogress.com homepage -> Hover over Resources -> Export Tools -> Arbor Data Converter


Export your Pupil Progress data

  1. Navigate to Grade Summary for the relevant year group in Pupil Progress

  2. Select the desired source grade

  3. Export the data using the Sisra export tool, not the regular XLS download

  4. Ensure UPN is selected as the unique identifier

  5. Download the file in your browser

💡 Using UPN as the identifier is essential to ensure students are matched correctly in Arbor.


Download your Arbor import template

  1. In Arbor, go to:
    Students → Assessments → Summative Tracking → Mark Entry

  2. Select Import from the left-hand menu

  3. Download the Arbor import spreadsheet

Upload your files into the converter

  1. Upload both files:

    • Your Pupil Progress export

    • Your Arbor import template

  2. Click Preview Data


Preview and match your data

In the Preview Data stage:

  1. Ensure the following columns are correctly matched:

    • UPN → Student ID

    • Mark → Mark

  2. For each sheet:

    • Select the correct header row

    • Confirm the correct columns are assigned

💡 In most cases, this will match automatically.

Then, click Configure Mapping


Map subjects between systems

In the Map Subjects stage:

  1. You’ll see:

    • Pupil Progress subjects on the left

    • A dropdown to select the corresponding Arbor sheet

  2. For each subject:

    • Select the matching Arbor sheet

    • Or choose –Ignore– for any sheets you don't need to include, such as the 'Admin' sheet, or any subjects with alternative grade types

💡 Each sheet can only be mapped to one subject on Pupil Progress, and vice versa. If you deliver two exam boards for the same subject, you'll need to repeat this step.

Once all of the subjects you need are matched up, click Convert.


Download your converted file

  1. Click Download Populated Arbor File

  2. Review the file before importing into Arbor


Data security and file deletion

Your data is handled securely throughout the process:

  • Files that you uploaded are deleted immediately after you download the converted file

  • The output file is deleted when you:

    • Click Start New Conversion, or

    • Leave the page, or

    • If inactive, all files are automatically deleted after 15 minutes

💡 No files are stored permanently at any stage.


📖 Team Tip - Always open and quickly review your converted file before uploading into Arbor to catch any unexpected mapping issues, especially if you’ve ignored subjects or used custom assessment names.
